Expenses and income

Back to documentation

The Income & Expenses module helps you keep simple accounts of the aviary: sales, purchases, prizes, food, rings, vet and other common movements.

This section is optional. If you don't need it, you can leave it hidden.

Enable the module

  1. Go to Settings → Modules.
  2. Turn on Income & Expenses.
  3. Open it from the side menu, where it appears once enabled.

When you disable it, the access disappears from the menu, but the saved movements are kept in the database.

What the screen shows

The screen is organised by month. At the top you can change month with the arrows and review:

  • Yearly balance for the selected year.
  • Monthly balance for the current month.
  • Total income.
  • Total expenses.
  • Resulting balance.

Amounts use the currency selected under Settings → Currency.

Each entry appears on a card with its concept, amount, date, categories and notes when you have added them, so you can understand the expense or income without opening it.

Add a movement

  1. Tap Add entry.
  2. Choose whether it is Income or Expense.
  3. Write the concept.
  4. Select one or more categories.
  5. Enter the amount and the date.
  6. Add notes if you need to leave more context.

Common categories:

  • Income: bird sales, accessories, prizes or other income.
  • Expenses: food, medicines, rings, accessories, vet or other expenses.

Expenses created from Inventory

If you also use the Inventory module, logging a purchase with a price above 0 shows the Create expense in Finances box, already ticked. If you leave it like that, the app adds the expense with the purchase amount, date and concept, in the Inventory category, without you having to note it down twice. Without that box —with this module off or without a price—, the purchase records nothing here.

Feeding plans do not create expenses or income: they link Inventory items, and purchases are still logged in Inventory.

Entries created from a bird

On any bird's record you can note its purchase price and its sale price (see Birds). Both go into the Birds category.

When you enter the purchase price, the app lets you choose:

  • Record it as an expense: creates the expense here, for the amount you typed.
  • Only value the bird: leaves the balance untouched. The amount goes to the bird's estimated value and feeds only your aviary's value. This is the option for someone who already recorded it by hand, or who is entering a bird they did not buy.

The income is offered whenever you record or change the sale price of a transferred bird: as the sale goes through and also afterwards, if you set the price weeks later. If the bird is already transferred, its record's menu has the “Record sale price” action, with no need to return it to the aviary.

As with Inventory, you are asked before anything is created and the entry remains independent: if you later delete the bird, the entry stays in your accounts.

Edit or delete

Each movement in the monthly list can be edited or deleted from its own card.

The balance is recalculated automatically when you save or delete movements.

The aviary value is not the balance

This screen also shows your aviary value, on a card of its own. It is not part of the balance and adds to no total here, and that is deliberate: the balance measures money that has come in and gone out, while the aviary value measures what your birds are worth. A bird born in your aviary cost you nothing —it appears as no expense— but is worth the same as a bought one.

The full detail, with its breakdown and growth chart, is in the aviary summary.
